Privacy & Data-Protection Policy
Last updated: June 2026
The Africa Mindset Reset Forum (the "Forum") is organised by the African School of Governance ("ASG", "we", "us"). This Privacy Policy explains how we collect, use, share and protect the personal information you provide when you register for or attend the Forum.
1. Who we are
The African School of Governance is the data controller for the information collected through this registration portal. If you have any questions about this policy or your data, contact us at registration@asg.rw.
2. Information we collect
When you register, we collect the information you submit, which may include:
- Identity and contact details — salutation, first and last name, email address and telephone number;
- Country of origin and country of residence;
- An identification or passport number and a profile photograph, used for accreditation and your event badge;
- Professional information — the category you register under, your organisation or institution (or university/school), and your position;
- Optional information — gender, age group, disability or refugee/displaced status, sector, themes of interest, how you heard about the Forum, and any dietary or accessibility requirements;
- Whether you require a visa support letter;
- Your consent choices.
VIP and invited guests register through a private link and provide a reduced set of the above.
3. How we use your information
We use your information to:
- Process and review your registration and confirm your participation;
- Produce your accreditation badge and manage on-site access;
- Prepare an invitation letter and, where requested, a visa support letter;
- Plan logistics such as catering, accessibility support and seating;
- Communicate with you about your registration and the Forum programme;
- Keep you informed about future ASG events, where you have opted in.
4. Photography and filming
The Forum is photographed, filmed and recorded for documentation and communications. By registering you consent to being captured in those materials and to ASG using them for reporting, publications and promotion of the Forum and ASG.
5. Legal basis
We process your information on the basis of your consent, our legitimate interest in organising and running the Forum, and, where applicable, to comply with accreditation, security and immigration requirements.
6. Sharing your information
We share your information only as needed to deliver the Forum, including with: trusted service providers (for example badging, IT, email and event logistics); the host venue; and relevant Rwandan authorities for accreditation, security or visa-support purposes. We do not sell your personal information.
7. Retention
We keep your registration information for as long as necessary to organise the Forum and for a reasonable period afterwards for reporting and follow-up, after which it is deleted or anonymised.
8. Security
We apply appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. No system can be guaranteed completely secure, but we take reasonable steps to keep your data safe.
9. Your rights
You may request access to, correction of, or deletion of your personal information, and you may withdraw your consent to optional processing (such as marketing updates) at any time. To exercise these rights, contact registration@asg.rw.
10. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be available on this page.
